BASIC FUNCTION: Based on-site in Tulsa, Oklahoma, this position supports Industrial Oils Unlimited, LLC within the Lubricants & Specialties division. Reporting to the Team Lead Customer Service, the Customer Service Representative is accountable for order management and customer service excellence. They are responsible for customer communication from order to fulfillment while working with Sales and Global Supply Chain to fulfill customer orders. They are the primary point of contact for customers. The Customer Service role is progressive in nature where new employees will start learning more fundamental skills and eventually develop the more complex expertise required to offer a superior customer experience and personal development opportunities. ESSENTIAL JOB DUTIES/RESPONSIBILITIES: • Act as the primary point of contact, providing strong service for key accounts. • Receive, expedite and accurately process to completion all sales orders in SAP or internal web-based ordering system to meet customer expectations. • Work with customers, sales representatives, production and distribution to effectively fulfill customer requirements, including completion of all appropriate documentation • Run daily open order reports along with monthly billing due list processing to ensure we are capturing all pending orders and invoices • Resolve order and delivery problems, including return coordination on behalf of the customer in a professional and timely manner • Provide customers with technical information, technical data sheets, promotional materials and safety data sheets as necessary • Promote and enforce internal quality policies and procedures, including reporting of issues into our internal tracking systems. • Make appropriate packaging recommendations based on customer queries • Manage accounts with special requirements to ensure strong customer experience • Provide peer training and onboarding of new team members through shadowing and coaching • Provide training to external customers on our web-based ordering system. • Month end Reporting responsibilities for certain desks • Ensure compliance in our training documentation and programs. • Support IT enhancements and projects through user acceptance testing as required Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion REQUIRED EXPERIENCE: • 1-3 years of experience in a customer-facing role, account management, or project coordination. PREFERRED EXPERIENCE: • Experience in end-to-end order management role in a manufacturing business environment. EDUCATION: • H.S. Diploma or equivalent. Post-secondary education preferred. Call types include password resets, application status, application intake/updates and our customer also need help navigating the government's online application tool. This position consists of taking back-to-back calls often, without follow up or time between calls for the duration of your shift. It also includes dealing with multiple systems to input and read/interpret data back to the caller. The ideal candidate needs to be able to answer questions fully and capture data into a client system and responsible for memorizing several scripts verbatim per our client's policy. CSR's must answer all calls that come into their station (ie, not hanging up, not responding so that the caller hangs up, and not abusing hold time as it is closely monitored) and maintain professionalism throughout the call regardless of how difficult it may become. As stated calls can be difficult as we handle SNAP and other benefits (Supplemental Nutrition Assistance Program) and deal with callers who are missing/denied benefits. CSR's are held accountable for goals such as valid transfers (valid as defined by the transfer reasons and departments in our knowledgebase), Quality Assurance (guidelines set forth by the client and reported on weekly), Customer Satisfaction Surveys (Again, guidelines set forth by the client and reported on weekly). CSR's are responsible for following a break and lunch schedule daily that is set by our global Workforce team. Our internal department can accurately forecast how many calls we are going to take every 30 minutes, that being said, since we are good at forecasting that call volume, we also know how many CSRs we need to answer all of those citizen calls. So being here is critical. • Performs business support or technical work, using data organizing and coordination skills. • Performs tasks based on established procedures. • In some areas, requires vocational training, certifications, licensures, or equivalent experience.
