Onsite Job Summary: The office administrator serves as the first point of contact answering phones for the company and welcoming onsite customers, visitors, and vendors, while ensuring the daily operations of the office run smoothly and efficiently. This role combines exceptional customer service with strong organizational and administrative skills to support office operations, coordinate events, and maintain a welcoming, professional environment. Duties & Responsibilities: Reception & Customer Service • Professionally answer and direct incoming phone calls. • Greet customers, visitors, vendors and applicants with a friendly and professional demeanor. • Manage incoming and outgoing mail and deliveries. • Respond to general inquiries and direct visitors to the appropriate department. Office & Administrative Support • Order, monitor, and maintain office supplies, breakroom and other company resources. • Coordinate office equipment maintenance and service requests. • Assist with scheduling meetings and conference room reservations. • Assist leadership, office staff and other departments with administrative tasks and special projects. • Prepare correspondence, reports, and presentations as needed. • Support company communications and office announcements via company monitors and daily absent list. • Manage phone and department lists. Customer Event Coordination • Plan, organize, and coordinate customer meetings, training sessions, and special events. • Schedule event logistics including meeting space, catering, materials, and equipment. • Coordinate invitations, registrations, agendas and attendee communications. • Prepare event materials and ensure meeting spaces are properly set up. • Work with internal departments and vendors to ensure successful event execution. Requirements: • Ability to manage multiple priorities while maintaining attention to detail. • Experience in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). • 3+ years of receptionist, office administration, or office management experience preferred.
