Job Type Part-time Description Part-Time/On-Call Administrative Assistant This position is regularly scheduled to work Mondays, with additional as-needed/on-call hours to provide administrative coverage for vacations, absences, increased workload, or other operational needs. Additional hours will vary and are not guaranteed. POSITION SUMMARY: Are you a compassionate and detail-oriented professional looking for a meaningful part-time role? Heritage Funeral Home and Greenwood Memorial Terrace are seeking a Part-Time Administrative Assistant to support our team with essential administrative and service-related tasks. This position plays a key role in providing outstanding care to families while ensuring smooth day-to-day operations. This position is Mondays and On- Call As Needed. PRIMARY DUTIES AND RESPONSIBILITIES: • Maintain ethical standards and confidentiality • Maintain a professional appearance • Conservative business attire • Proper footwear (close-toed shoes) • No visible tattoos or facial piercings, maintain hair of a natural color • Receptionist Duties • Providing guests with information or find the appropriate person to give them information • Answer multi-line telephone; forward incoming calls (using the intercom); taking messages as necessary • Take and allocate "first calls" • EDRS and Death Certificate Processing • Administrative Duties • Entry of contracts into HMIS • Review and collection of all accounts receivable • Processing and verification of all accounts payables. • Deposit and posting of payments to HMIS • Maintains petty cash account and disburses the same in accordance with company policies and procedures • Reconciliations of all accounts • Create house checks • Reconcile monthly credit card statements • Receptionist type duties • Manage office supply ordering and inventory • Help with expense management. • Reconcile all merchandise orders to HMIS. • Processing of PN funeral contracts • Supports the funeral directing, and family service teams. • Assures compliance with all Company policies and procedures. • Maintains licenses • Coordinates daily activities with business unit as well as other departments • Maintains and updates customer records • Take all directions given by Funeral Directors • Assist customers in a compassionate and professional manner. • Performs any duties requested by location or senior management. • Support a positive work environment that fosters team work. • Assist others within the organization of Fairmount Memorial Association • Family Service, Community Service, Grounds • Heritage Funeral & Cremation • Maintains active, positive role and involvement in community and civic affairs. • Performs other duties as assigned. Job duties are subject to change as directed by management. Requirements KNOWLEDGE, SKILLS AND ABILITIES: Solid working knowledge of computers, typewriter, MS Office, e-mail, internet and basic office equipment required Excellent communication skills both orally and in writing High level of compassion, integrity, and confidentiality Problem solving skills Ability to multi task and set priorities Detail oriented Must be flexible and able to function in a face-paced environment PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT:?Will be required to work in an office setting with frequent need to stand, walk, sit, lift light objects. Must be able to lift 10 to 25 pounds without assistance and 25 to 75 pounds with assistance, sit or stand for long periods of time (up to 4 hours). For an employee to succeed in this position they will need to be able to interact with coworkers in a supportive and collaborative manner; and interact with bereaved individuals and families in a time of mourning while maintaining optimum levels of compassion and professionalism. Must also be able to multitask regularly, work independently, adapt to changing policies and procedures, and contribute to problem-solving when needed. Fairmount Memorial Association/Heritage Funeral Home promotes a drug/alcohol-free work environment through the use of mandatory pre-employment & random drug testing. EQUIPMENT/TOOLS: This position requires the frequent use of, and familiarization with, computers, fax machines, multi-line phone systems, laminators, postage machines, email, copiers, printers, scanners, etc. MINIMUM QUALIFICATIONS:? This position requires a high school diploma (or equivalent); 2 or more years of accounts payable, accounts receivable, general accounting and clerical experience. Background in Funeral home or customer service experience a must. EMPLOYMENT AT WILL: Employment with Fairmount Holdings, Inc. is at will, which means that either the employee or the employer is free to terminate the employment relationship at any time with or without reason, advance notice, or warning.
