Administrative Assistant The Administrative Assistant provides the Alzheimer's Association – Nebraska and South Dakota Chapters with essential administrative support. This includes support to the Executive Director, Program Directors, Public Policy Directors, Development Director, managers and other staff, as needed. Additionally, this person is responsible for providing support in the management of chapter volunteers and events. Responsibilities: • Provide administrative and logistical support for the Development Team for the Walk to End Alzheimer's, Do What You Love to End ALZ and other chapter events. • Assist the Program Directors in supporting Chapter volunteers. • Help manage volunteer databases. • Support Development team in tracking sponsorship contributions and fulfillment needs. • Process payment requests and invoices. • Compile data from data management systems for program, grant and development reports. • Provide administrative and coordination support for communications projects including organizing and coordinating information for email outreach. • Assist the Chapter's Leadership Team with administrative needs of each department. • Assist Executive Director with quarterly Board of Directors meeting arrangements including Board correspondence and event coordination. • Answer phones and assist walk-in constituents. • Help manage volunteer database and coordinate volunteer screening, training calendars and necessary documentation. • Train and provide guidance to office volunteers and manage projects for front office volunteers. Qualifications: • Associate's degree or equivalent experience required. • Two years or more of experience as an administrative assistant, office manager, or similar required. Knowledge, Skills and Abilities: • MS Office proficiency and ability to master CRM and other applications as necessary. • Organizational and problem-solving skills. • Positive attitude and willingness to help. • Work effectively with volunteers, staff, external contacts and diverse populations. • Self-sufficient worker with strong initiative and intuition. • Ability to prioritize and manage multiple priorities and maintain detailed records. • Communicate effectively in person, in writing, and electronically to a variety of audiences. • Analyze information and make timely, appropriate decisions. • Ability to lift and move up to 35 pounds. • Occasional travel by car to attend meetings within chapter territory. Mileage reimbursed. While most travel is same day, occasional overnight or air travel may be required. • Must possess valid driver's license, good driving record, access to reliable vehicle and proof of automobile insurance. Following a strict proprietary recipe, NbC cake-frosting methods and food safety standards, the Froster makes our signature frosting and utilizes standardized application techniques to frost all of our delicious cakes. Accountabilities/Duties: • Follows NbC proprietary recipes and cake production methods with precision and achieves productivity goals. • Effectively utilizes measuring instruments, commercial-grade mixers and ovens, and other tools to bake cakes. • Accurately prepares raw ingredients and equipment for baking, places cake pans into hot oven, and monitors the baking process. • Adheres to the proper packaging, labeling, and storage of baked cakes as well as product rotation standards, and maintains baking and refrigeration logs. • Assists Bakery Manager in the development of cake production plan, monitors inventory of baking supplies, and notifies management when supply replenishment is required. • Evaluates raw ingredients and baked cakes to ensure NbC standards are met and informs management of any quality control issues. • Cleans, sanitizes, and restocks the workstation. Ensures all baking supplies are sufficiently prepared for the next shift. • Complies with all health and safety guidelines, NbC policies and procedures, including strict adherence to dress code and personal hygiene. • Maintains a consistent work attendance and punctuality record. Accountabilities/Duties: • Follows NbC proprietary frosting recipe and application methods with precision and achieves productivity goals. • Effectively utilizes measuring instruments, commercial-grade or handheld mixer and pastry bag to frost cakes. • Prioritizes cake pre-orders according to schedule, and frosts cakes for walk-in guest orders accordingly. • Ensures an adequate supply of samples and frosted cakes are available for guests in the bakery display case and maintains appropriate frosting and frosted cake par levels. • Adheres to the proper packaging, labeling, and storage of frosted cakes as well as product rotation standards, and maintains frosting and refrigeration logs. • Monitors inventory of frosting supplies and notifies management when replenishment is required. • Evaluates baked and frosted cakes to ensure NbC standards are met and informs management of any quality control issues. • Cleans, sanitizes and restocks workstation, ensure frosting supplies are sufficiently prepared for the next shift, and washes any equipment in the absence of the Dishwasher/Utility Employee. • Complies with all health and safety guidelines and NbC policies and procedures, including strict adherence to dress code and personal hygiene. • Maintains a consistent work attendance and punctuality record. Work Availability: • Must have the flexibility to work various shifts, including early mornings, evenings, weekends, and holidays, based on changing business demands. • Days and Hours (Full Time)- Flexible days depending on holidays. Being a holiday-based business, we are not able to grant time off during the holidays. We are closed Thanksgiving Day, Christmas Day, and New Year's Day. The 1st 6 weeks of the year is the best time to take time off.
