Associate Director, Academic Advising & Programs This position will support the university's new School of Computing, which includes 3 strong departments and more than 6,500 students across all programs. This places UT among the most significant intellectual hubs for computer science, information, and statistics and data science research and education anywhere in the world. The School of Computing has a close relationship with Austin's thriving tech culture and works at the forefront of fields such as artificial intelligence, robotics, quantum computing, and cybersecurity. The Associate Director, Academic Advising & Programs provides strategic leadership for undergraduate academic advising operations, orientation and transition programs, enrollment management, academic policy administration, and academic program support within the School of Computing. This position oversees advising operations for Computer Science and Statistics & Data Science undergraduate programs, supervises advising staff, provides oversight for advising services supporting honors and specialized student populations, and collaborates with faculty and university partners to support student progression, academic excellence, and timely degree completion. The Associate Director serves as a key member of the School's undergraduate academic affairs leadership team and plays a critical role in developing innovative approaches to advising, onboarding, academic program administration, and operational effectiveness to support a growing and diverse student population. Academic Advising, Orientation & Operations • Provide strategic leadership and oversight for advising operations supporting undergraduate Computer Science and Statistics & Data Science students. • Supervise, develop, and evaluate advising staff while establishing operational goals, service standards, and assessment practices. • Provide leadership for orientation, onboarding, and transition initiatives in collaboration with university orientation and enrollment partners. • Develop advising strategies, policies, and operational processes that support student success and timely degree completion. • Serve as a resource for complex academic, enrollment, and student issues, and assist with school info sessions for prospective students when needed. Academic Programs, Advising & Student Pathways • Provide operational oversight and coordination for the Programming & Computation Certificate and Five-Year BS/MS Integrated Program in partnership with faculty leadership. • Oversee advising services and student support initiatives for honors, interdisciplinary, integrated degree, and selective-entry programs, including Turing Scholars, Texas CSB, and other specialized student populations. • Coordinate student communications, enrollment processes, advising initiatives, and program operations for assigned populations. • Partner with faculty directors and program leadership to support student success, program assessment, and continuous improvement. • Support the development and implementation of new academic programs and student opportunities within the School of Computing. Seat Management, Academic Policy & Degree Progression • Lead efforts related to enrollment management, student progression, and degree completion. • Oversee petitions, policy exceptions, and implementation of university, college, and school academic policies. • Assist with course demand planning, enrollment forecasting, and registration management. • Monitor student progression and academic outcomes to identify trends and opportunities for improvement. • Develop recommendations and solutions to address complex academic, enrollment, and policy-related issues. Faculty Collaboration & Strategic Partnerships • Serve as a liaison among faculty, students, families, and university partners. • Collaborate with faculty and School leadership on academic policies, curriculum implementation, and strategic initiatives. • Build partnerships across advising, enrollment management, and student affairs units to support School priorities. • Represent the School on committees, working groups, and institutional initiatives. Assessment, Reporting & Administrative Leadership • Develop reports, analyses, and recommendations to support strategic planning and operational decision-making. • Assess advising services, orientation initiatives, and academic programs to support continuous improvement. • Leverage technology and emerging tools to enhance service delivery and operational efficiency. • Participate in professional development. Required Qualifications • Bachelor's degree with progressively responsible experience in academic advising, student affairs, academic program administration, or higher education administration. • Five years of progressively responsible experience in academic advising, academic program administration, enrollment management, student affairs, or higher education administration. • Experience supervising professional staff. • Demonstrated experience leading complex programs, projects, or initiatives. • Strong knowledge of academic policies, student records, and degree requirements. • Excellent communication, collaboration, organizational, and problem-solving skills. • Demonstrated ability to analyze data and use information to inform decision-making and program improvement. Relevant education and experience may be substituted as appropriate. Salary Range $85,000 + depending on qualifications Working Conditions • Typical office environment. SUMMARY Position Type: Full-time, non-exempt, hourly supervisor role. Scope of Role: Supervises a single program or unit within a program, typically supporting 4-8 individuals in residential settings or 10-15 individuals in periodic, vocational or day programs. Duties are split between the provision of direct support, professional or program activities and supervision. Key Responsibilities: Supervise Direct Support Professionals Oversee the day-to-day operation of the program including delivery of supports, implementation of person-centered plans, health care, advocacy, customer engagement, regulatory compliance and when applicable, oversight of the physical environment. Generally works 8 to 16 flexible hours per week in a supervisory capacity; and provides direct support for the remaining hours. Services and Supports: Direct Support: Works regularly scheduled shifts as a direct support professional (see DSP position description). Records: Documents as required; reviews individual records, billing and other program documentation routinely for accuracy and completion on a daily basis; maintains Program Planning: Assists the Program Director in development of individual program plans; trains and monitors implementation of plans each day across all shifts. Team Meetings: Attends and assists with routine progress meetings. Compliance: Assists the Program Director in maintaining licensing compliance for program services and supports; implements Sevita compliance plan; manages individual rights implementation. Management of Individuals' Assets: When assigned, assures safety of individual's funds and property; monitors spending and reconciles individual's financial accounts monthly. Incidents: Completes or assists DSPs in documenting incident reports; submits initial incident reports to the Program Director. Billing and Utilization: Compiles or accumulates census or attendance information; reviews data and attests to accuracy; submits accurate data to the Program Director or appropriate billing authority. Health Care: General Health Care: Monitors health of persons being served; documents; communicates with medical professionals as appropriate; implements preventive strategies to limit illness and serious incidents; reviews and monitors documentation across all shifts. Appointments: When applicable, schedules or assists in scheduling health care appointments; may accompany individuals to appointments; may assist with communication; documents visits; oversees follow through of orders; communicates results as appropriate with families, guardians, case managers, day programs or others. Medications: When applicable, accurately administers or supports self-administration of medication and documents delivery of medications and treatments; reviews all other medication documentation for accuracy and completeness, daily or weekly as required; reviews medication errors with employees; communicates medication changes and provides training across all shifts; maintains appropriate security of medications and supplies. Medical Supplies and Equipment: Purchases and maintains medical supplies and equipment in consultation with Program Director; communicates with employees and may assist with training on proper use. Dietary planning: Develops menus based on diets, preferences, and occasions, and with the exception of some in-home services, purchases or oversees purchasing of food and supplies in accordance with planned menus and individual choice or need; directs and monitors food service, consistent with individual plans. Stakeholder Relations: Communications: Maintains productive and professional relations with individuals, families, case managers and other stakeholders. Customer Service: Implements Sevita Customer Service Standards; trains DSPs in delivery. Personnel: Recruitment and Hiring: As needed, assists with recruitment; interviews and hires direct support professionals in consultation with the Area Director and Talent Acquisitions teams. Employee Scheduling: Populates and maintains schedule to assure that all shifts are covered, and overtime is minimized. Training: Assists with onboarding and delivers orientation and ongoing training concerning the individuals served, program plans, policies, procedures and physical environment; Verifies training records are accessible in the home and are completed by all staff on the schedule. Evaluation: Prepares and conducts annual evaluations for Direct Support Professionals, in consultation with the Program Director. Discipline and Termination: Coaches employees as needed, correcting or directing employee behavior where required; may remove employees in the event of emergency; may recommend and participate in decisions regarding termination; consults with the Program Director on all matters of discipline. Employee Safety: Responsible for employee safety and workers' compensation within the program; implements and monitors compliance with safety standards. Management: May assist with or lead monthly program meetings for direct support professionals; documents monthly meeting agenda and attendance. Financial Management: Purchasing: When applicable, purchases food and household supplies; purchases office supplies and minor equipment; reviews and attests company credit card statements and monthly invoices; directs employees as necessary; monitors and attests to cost effective, accurate and applicable spending. Individuals' Served Funds Management: Secures and safeguards individuals' served funds locally; uses forms for money/debit card transfers; updates financial ledgers weekly and maintains itemized receipts for purchases on behalf of individuals served Billing and Utilization: Reviews census, attendance information or other required documentation to assure accurate billing; monitors utilization between authorization and provision of services and supports. Staffing: Monitors staffing hours for budgetary compliance. Census Management: Census Capture: Captures daily census within systems; understands importance of accurate and timely service capture along with required documentation. Census Performance: Develops basic understanding of census, including how census is measured and census performance for locations; Escalates potential service disruptions Placements: Supports location preparations required for expected placements (e.g., room & furniture set-up, safety requirements, etc.). Maintenance: Vehicles: When applicable, test drives vehicle monthly; inspects vehicle lifts and seatbelts monthly; reports safety concerns immediately to supervisor or maintenance personnel; assures vehicle is washed and cleaned; trains staff in safe vehicle operation and safely transporting individuals; ensures routine maintenance is performed. Living Environment: When applicable, schedules and monitors daily and seasonal housekeeping; oversees lawn and yard care. Maintains neat, clean and safe environment for individuals served. Maintenance and Repair: When applicable, makes or arranges for minor repairs; reports to and schedules repairs by maintenance personnel as required; monitors environmental safety; monitors water temperature, refrigerator and freezer temperature, and safety alarms and extinguishers on a monthly basis; replaces furnace filters monthly. Equipment: Monitors wheelchairs, lifts and other safety equipment; sees that repairs are made promptly and correctly in the event of faulty equipment. Other: Performs other duties and activities as required, including backfilling roles under your supervision. MPA = Mobile Punch Authorized for timekeeping. SUPERVISORY RESPONSIBILITIES Supervises the Direct Support Professionals. Manages assigned personnel. Completes performance evaluations, orientation, and training.
