Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of Sunday, 7:30 am to 4:00 pm; Monday - Thursday 8:00 am - 4:30 pm. We offer 4 weeks of paid training. The hours during training will be 8:00 am - 4:30 pm, Monday - Friday. Training will be conducted onsite. Primary Responsibilities • Screens all incoming patient inquires (through phone, online/medical record message, or other means) to determine whether those inquiries can be appropriately handled by the Patient Service Representative or if they need to be directed to other team members • Courteous, friendly, problem solver with customer service, patient focused communication • Resolves issues in areas involving patient satisfaction, patient flow, and compliance with procedures and guidelines. Advocates for patients as appropriate • Participates in resolving operational difficulties and communicates with supervisor regarding department issues and problems as necessary • Resolves patient issues and ensures satisfaction. May refer difficult or highly complex phone calls and issues to higher level staff • Initiates requests for forms, letters, medication renewals, referrals, prior authorizations, and any other administrative needs submitted by patients and answers any corresponding questions. Understands all documents and processes • Reviews and facilitates the updating of missing /outdated information in the patient record, such as demographics, primary care physician selection, and insurance • Develops and maintains effective and efficient communication with the patient, interdisciplinary team, department staff, providers, and other agencies • Reviews department appointment schedules to ensure that clinic utilization is optimized and effectively supports the needs of the clinics as well as the needs of the patients • Assists with basic data collection activities, ensuring data is properly collected and accurate (e.g. no show reports, telephone statistics) • Participates in problem solving activities, focusing on productivity and quality. Required Qualifications • High School Diploma / GED OR equivalent work experience • Must be 18 years of age OR older • 1+ years of customer service experience • Electronic medical record (EMR) experience and/or aptitude to master the EMR based on other technology experience • Experience booking, rescheduling, and canceling appointments; and verifying patient eligibility using digital scheduling platforms. • Proficient in Microsoft Outlook, Microsoft Teams, Microsoft Word, and Microsoft Excel for communication, scheduling coordination, reporting, and internal collaboration. • Ability to work full time. In this position, you'll be responsible for providing grief support to potential donor families while also advocating for donation via phone calls. Initiates contact with the legal next of kin according to the UAGA hierarchy and leads a supportive discussion and interview process regarding donation. Processes referrals from multiple partners/ sources in a timely manner with a focus on quality client service and attention to detail. Collaborate with internal/external partners to prioritize all donation opportunities through clear and concise communication on next steps in the donation continuum. Triages calls by urgency and routes to appropriate coordinator and provides excellent customer service. Your work will have purpose every single day, contributing directly to life-changing outcomes. What You'll Do • Donation and Grief Support: Works empathetically, compassionately, and professionally with families in crisis and advocates for donation (eye/tissue/research/education). Approaches for donation opportunities telephonically and obtain authorization in alignment with goals and expectations. Effectively completes required paperwork without error (e.g. Authorization/ Disclosure/ DRAI/ adjunct forms, etc.). Completes a thorough and conscientious Donor Risk Assessment Interview (DRAI) with the most appropriate historian. Follows all communication protocols to ensure effective and professional interactions with internal and external stakeholders including but not limited to funeral homes, eye banks, medical examiners, donor families, and hospital partners. Utilizes telephonic and electronic means for effective communication. • Donor Referrals and Donor Evaluation: Supports department initiatives and tasks by addressing donation opportunities via referrals from multiple partners either electronically or by phone. Actively pursues confirmation of registry status in Donate Life databases, maintains electronic medical record (EMR) access to participating hospitals and accurately evaluates potential donors prior to donation conversation, and quality checks utilizing recordings of legal documents. Collaborate with key internal and external partners to ensure a positive customer service experience. • Triage and Escalations: Assesses incoming calls and electronic communication from internal/external partners. Prioritize based on urgency and either addresses as able or follows proper transfer protocol to daily task owner. What You'll Bring Minimum Requirements: • High School Diploma/GED or Associate's Degree (Psychology, Social Science, Human Services, Humanities) • 3 years (with High School Diploma/GED) – experience working with families through counseling, bereavement and/or crisis intervention OR 1 year with Associate Degree - Experience with donation approach experience in an OPO/Tissue environment. Preferred Experience/Skills/Certifications: • 2 years' experience w orking in degree field in supportive services such as Social Work, Counseling, Death Doula, Counseling (crisis or bereavement), or Palliative Care OR 2 years' experience as an EMT, Corpsman, ER/ICU tech or equivalent experience, or dispatch for emergency services Key Knowledge, Skills, & Abilities: • Communication Skills: Excellent verbal and written communication skills; ability to communicate and build relationships with all professionals at various levels within the organization.
