Front Desk Agent The Front Desk Agent is responsible for providing attentive, courteous and efficient service to all guests during check-in, throughout their stay, and at checkout, maximizing room revenue and occupancy while delivering articulate service at the highest level possible. Always presents a friendly and professional image at the Hotel/Casino. Essential Duties and Responsibilities The following and other duties may be assigned as necessary: • Enthusiastically supports, actively promotes, and demonstrates superior customer service in accordance with department and company standards and programs. • Maintains strict confidentiality in all departmental and company matters. • Provides impeccable guest service to all guests • Actively supports the company culture of creating a fun and entertaining experience for internal and external guests. • Maintains a working knowledge of the Company's property, as well as special events on and near property, in order to advise guests of same, whenever possible. • Provides information to guests about hotel policies, services and amenities. • Responds to requests from guests for assistance and information about the local area (e.g. directions, places to eat, etc.). • Ensures a maximum level of service and satisfaction is achieved and maintained. • Sells rooms to "walk-in" customers. • Creates reservations using the system both individual and group related providing informational feedback regarding confirmation of reservation, arrival, departure, check-in, check-out, cancellation policy, credit card & payment requirements. • Enters/changes reservation information on the computer system. Posts charges to guest accounts, processes payments from guests. Makes necessary corrections to guest accounts. • Informs housekeeping department about room status/availability. Cleans the front desk area and maintains public areas and lobbies. • Listens for and responds to guest complaints. • Maintains daily logs. Balances shift work and cash drawers. • Reasons what a potential guest is looking for in room accommodations and participates in problem solving situations while keeping the Front Desk Manager well informed. • Recognizes and creates guest profiles to help maximize accuracy and guest recognition. • Assists other team members and departments to contribute to the best overall performance of the department and hotel. • Cooperates and communicates with all fellow team members, always exhibiting mutual respect and consistently projecting a positive, helpful image/attitude. • Makes efforts to keep informed of company information and communications by participating in department meetings, huddles and reviewing property bulletin boards, digital signage, and company newsletter. • Follows established procedures and policies of the Oaklawn Racing Casino Resort. Qualification Requirements To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. A professional is successful when providing receptionist support that enhances the customers' experience when receiving services at Samaritan. This is a per diem working variable days (open 7 days/week) and variable hours between 7:00 AM-7:00 PM. ESSENTIAL FUNCTIONS • Ensure all incoming calls are promptly and courteously answered and customers are assisted in a friendly, professional manner. When appropriate, direct the caller to the specified professional, department, or medical practice. Customers presenting in person for appointment or other business are to be greeted in the same professional, accommodating approach. • Responsible for scheduling appointments for patients to meet with providers and maintain knowledge of provider preference in how patients are scheduled in the system ensuring a successful patient/provider encounter. • Accountable for obtaining accurate billing and insurance information and to promptly and properly verify data. Record all pertinent information into the electronic system, i.e. DSHS, HMOs, L&I, commercial insurance, etc. • Complete insurance verification eligibility for all insurances before patient's appointment. • Ensure all forms, letters of non-coverage, questionnaires, and other applicable documentation are completed and signed by the customer. • Accept payments from customers; understanding patient bills and charges in order to accurately process the payment. Collect co-pays and maintain cash drawer to complete daily deposits alerting Director of Operations in the event of any discrepancy or concern. • Supply customers the release of information (ROI) form for all medical records requests. Route all completed ROIs to the Health Information Management (HIM) department to process. This task shall be handled in accordance with State and Federal regulations. • Responsible for routing all clinical scope of practice questions, faxes, and requests to the appropriate nursing professionals, including prescriptions, test results, new requests, medicine dispensed at schools, lab slips, etc. • Receive and disburse all incoming and outgoing mail. • Request supplies and/or minor equipment for maintaining the office. • Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise. • Ensures no injuries to self or others by following safe work practices and policies. This includes, but is not limited to: security and safety, understanding of MSDS, equipment, infection control, fire, disaster, safe lifting and body mechanics. • Ensures self-compliance with organization policies and procedures as well as labor agreements. • Ensures the interface with team members and other support groups is conducted in a courteous and efficient manner conducive with the organization's values. • Conducts self in a professional manner and ensures personal appearance meets the standards necessary to perform the job function while representing the organization. • Ensures that additional accountabilities, as may be required by management, be handled in a manner necessary to meet organizational standards. Night Auditor Perform the night audit operations to ensure the maintenance of financial controls, and compliance with hotel standards.
